Document Automation
Documents built from your data, so the wrong version stops going out.
What is document automation?
Document automation generates contracts, quotes, invoices, letters and reports by filling approved templates with data from your systems, removing the copy and paste step and the version confusion that comes with it.
The usual method is opening the last similar document and editing it. It is quick, everybody does it, and it is how a client name from a previous deal ends up in a contract.
It also means nobody knows which version is current. Four slightly different quote templates circulate, two of them contain payment terms your finance team stopped accepting last year, and you find out when a client holds you to them.
Generating from a controlled template and live data removes both failures at once. The document is correct because the data is correct, and there is only one template.
Why nothing leaves without approval
Duara builds document automation from Nairobi for organisations producing the same documents repeatedly, where the current method is editing a copy of the last one.
We keep an approval step before anything leaves the building. Generating a contract in four seconds is only an improvement if somebody still looks at it, and clients who remove that step to save the click are the ones who later send a client the wrong payment terms at speed.
Who this is for
- Documents are made by editing the last one
- Several versions of a template are circulating
- Details get copied wrongly between documents
- Producing a quote or contract takes hours
Industries we serve
- Law firms
- Insurance brokers
- Construction contractors
- Property agencies
- Financial services
- Equipment suppliers
Problems this solves
These are all consequences of documents being edited rather than generated.
- Editing the last document. The fastest method is copying a previous one, which is exactly how a former client name reaches a live contract.
- Template versions multiplying. Several slightly different versions circulate and nobody can say which is current or approved.
- Details retyped between systems. The same figures are copied from the CRM to a quote to an invoice, with a chance of error at each step.
- Slow production. Assembling a complex quote or contract takes hours of work that is mostly mechanical.
What we deliver
Approved templates filled from your live systems, version control so only the current template is in use, an approval step before sending, and a record of every document produced.
Approved templates under version control
Documents generated from your live data
An approval step before anything is sent
A record of every document produced and by whom
Conditional clauses that appear only when they apply
Output to PDF and your document storage
Features
- One approved template. The current version is the only one available, which ends the circulation of outdated payment terms.
- Approval before sending. Generating in seconds only helps if somebody still checks. We keep that step and advise against removing it.
- Conditional clauses. Sections appear only where they apply, so nobody deletes an irrelevant paragraph and misses one.
- Data from source. Names, figures and terms come from your systems rather than from the last similar document.
- Every document recorded. What was produced, from which template, by whom and when, which matters in any later dispute.
Benefits
- Wrong versions stop going out. A single controlled template removes the most common and most embarrassing document failure.
- Hours become minutes. The mechanical assembly of a complex quote or contract stops consuming a morning.
- Fewer errors in figures. Data pulled from source cannot carry a transcription mistake.
- Disputes are easier to settle. A record of exactly what was sent and when is frequently the thing that resolves an argument.
Technologies we use
- Template engineering. Converting existing documents into controlled templates with fields and conditional sections.
- Data binding. Pulling values from your CRM, ERP or database so nothing is retyped.
- Conditional logic. Including or excluding clauses based on deal type, value or jurisdiction.
- Approval workflow. Routing generated documents for review before they can be issued.
- Storage and versioning. Filing output to your document system with a record of the template version used.
Template design is most of the work. Turning a document somebody has been editing for years into a clean template with proper conditional logic takes longer than the software.
How the process works, step by step
Document automation usually takes three to six weeks per document family, with template design taking the largest share.
-
Step 1
Free document review
We look at which documents you produce most and how many template versions are genuinely in circulation.
-
Step 2
Template consolidation
Competing versions are reconciled into one approved template, which frequently surfaces terms nobody meant to still be offering.
-
Step 3
Data mapping
Each field is tied to a source system so values are pulled rather than typed.
-
Step 4
Approval routing
The review step is configured with the people who should sign off before issue.
-
Step 5
Live with one document type
We start with a single document family and extend once it is working.
Quality assurance and how we work
The commitments attached to generating documents that commit you legally.
- An approval step stays in place. Generating a contract in seconds only helps if somebody still reads it, and we advise against removing that click.
- We do not write your terms. Template wording is yours and should be reviewed by your lawyer. We build the mechanism, not the legal content.
- Only the current template is available. Superseded versions are withdrawn rather than left accessible, since availability is why they keep being used.
- Every document is logged. What went out, on which template version and by whom, because that record settles disputes.
- We report contradictions between versions. Consolidating templates usually finds terms that disagree, and we bring those to you rather than choosing one.
Frequently asked questions about document automation
What does this actually replace?
The habit of opening the last similar document and editing it, which is how a previous client name ends up in a live contract.
Can it generate contracts?
Yes, from your approved templates with conditional clauses. The legal wording stays yours and should be reviewed by your lawyer.
Do you write the terms for us?
No. We build the mechanism, not the legal content. Template wording is a decision for you and your advisers.
Can documents be sent automatically?
They can, and we advise against it. Generating in seconds only helps if somebody still checks before it leaves.
Why keep a manual approval step?
Because clients who remove it to save a click are the ones who later send the wrong payment terms at speed.
Where does the data come from?
Your CRM, ERP or database, so names and figures are pulled from source rather than copied from a previous document.
How many templates can we have?
As many as you genuinely need, though consolidation usually reduces the number considerably.
What if our templates contradict each other?
We report the contradictions rather than picking one. Finding terms nobody meant to still be offering is a common outcome.
Can clauses vary by deal?
Yes, through conditional logic, so a section appears only where it applies rather than being deleted manually.
What formats does it output?
PDF normally, with editable formats where a document genuinely needs further work.
How long before documents generate themselves?
Three to six weeks per document family, with template design taking longer than the software.
Why does template design take so long?
Turning a document people have edited for years into clean conditional logic is genuinely the hard part.
Does it work with our document storage?
Yes, filing output to SharePoint, Google Drive or your own system with the template version recorded.
Can we still edit a generated document?
Yes, and edits before approval are normal. What changes is that you start from the correct base.
Does it handle signatures?
It integrates with e-signature tools where you use them, though the choice of provider is yours.
Can it produce documents in Swahili?
Yes, where you supply the template in Swahili. We do not translate legal wording.
Who can generate which documents?
Permissions follow your own rules, so a junior cannot issue a document that requires senior sign off.
What if a template needs changing?
It is updated centrally and the old version withdrawn, so the change takes effect everywhere at once.
Are our documents confidential?
Yes. Templates and generated documents stay in your systems and no public AI model is trained on them.
What does document automation cost?
The number of document families and template complexity determine it, quoted after the document review.
